Editorial illustration: Keep a simple record of your applications

Use one row for each application

Record the employer, role, reference, source link, closing date and date you applied. Add the current status and a space for the next action. Keep different roles at the same employer separate so that you do not confuse their references or requirements.

Save the version you actually sent

Keep the advert and your submitted CV or letter together in a clearly named folder. Record the application number or confirmation email. Saving a link alone may not be enough because employers can remove a page after the deadline.

Choose clear status labels

Use labels you understand, such as researching, preparing, submitted, interview, offer and closed. Submitted means you completed the employer's process and have evidence where provided. Clicking an Apply link by itself does not mean that an application was submitted.

Set a realistic next action

Write the next small action, such as checking a requested document or preparing for an interview. Follow up according to the employer's stated process. Do not repeatedly send the same application when a portal has already confirmed receipt.

Protect your information

Do not publish a tracker containing personal documents, passwords or identity numbers. Store passwords separately. If you share the tracker for help, remove sensitive details first. Review it regularly so that a useful record does not become a list of forgotten deadlines.

General guidance. Confirm the employer’s current requirements and your own pay arrangements before making an application or accepting an offer. Report a correction
