Use the email for a company that takes applications by email. Use the letter for everything else, including government posts, where the PSRS notice of 21 October 2026 asks for a signed letter in Swahili or English, addressed to the Secretary of the Public Service Recruitment Secretariat in Dodoma, and uploaded through the Ajira Portal.
Email or letter?
Follow the advert. If it names an email address, send a short email with your letter and CV attached. If it points to a portal, use the portal. PSRS notices say applications sent any other way will not be considered, so an email to a ministry won't count, however well it's written.
What makes a letter worth reading
Keep it to one page. If you want full samples for a government post, a company post and a first job, our letter guide has all three.
- The post and the reference number in the first line, so nobody has to guess.
- One real example that answers a duty in the advert.
- The documents you are sending, named.
- A phone number that works, near your signature.
Questions people ask
What goes in the email subject?
The post and your name, with the reference number if the advert gives one. If the advert sets a subject line, use exactly that.
Yours sincerely or yours faithfully?
Use sincerely if you wrote the person's name at the top, and faithfully if you wrote Dear Sir or Madam. The builder picks for you.
Do you send it for me?
No. The tool writes the text in your browser and you send it yourself. We never see it.
